Who we are

This website is operated by Maintain Property South Ltd, a company registered in England and Wales (company number 17007161), trading as MPS and based in Dorset. We are the data controller for the information described here.

What we collect

When you submit an enquiry through this website we collect:

  • Your name
  • Your email address
  • Your telephone number, if you provide one
  • The service your enquiry relates to, if you select one
  • The content of your message, including any property details you choose to include
  • A record that you ticked the consent box, and when

If you accept analytics cookies, we also collect anonymous information about how the site is used — pages viewed, how you arrived, and approximate location at city level. Your IP address is anonymised before it reaches us. This does not identify you personally, and we make no attempt to link it to an enquiry.

We do not collect special category data, we do not use automated decision-making or profiling, and this site is not directed at children.

Why we collect it, and our lawful basis

  • To respond to your enquiry and prepare a quotation — necessary to take steps at your request before entering into a contract.
  • To carry out and administer work you instruct us to do — necessary for the performance of that contract.
  • To keep records of completed work so we can answer later questions about it — our legitimate interest in running the business and standing behind our work.
  • To understand how the website performs — your consent, given through the cookie banner and withdrawable at any time.

Who we share it with

We do not sell your information and we do not share it for anyone else’s marketing. We use the following service providers, who process data on our behalf:

  • GoHighLevel (HighLevel Inc.) — the customer management system enquiries are sent to, so we can respond and track your job.
  • Vercel — website hosting and delivery.
  • Sanity — the content management system behind this site. It stores the site’s content, not your enquiry.
  • Google Analytics — website usage statistics, and only if you accept analytics cookies.

Where a job requires a specialist trade, inspector or supplier, we share only the details they need to attend and carry out the work.

We will also disclose information where we are legally required to, for example to comply with a court order or a regulator.

Transfers outside the UK

Some of these providers are based in, or store data in, the United States. Where information is transferred outside the UK we rely on the UK’s adequacy regulations or on standard contractual clauses together with the UK International Data Transfer Addendum, so your information keeps an equivalent level of protection.

How long we keep it

  • Enquiries that do not become work: two years from your last contact with us, then deleted.
  • Records relating to work we have carried out: six years from completion, which matches the period in which a claim could be brought.
  • Analytics data: retained by Google Analytics for a maximum of 14 months.

How we protect it

The site is served over an encrypted connection, enquiry data is transmitted directly to our customer management system rather than being stored on this website, and access to enquiry records is limited to people in the business who need it.

Your rights

Under UK data protection law you have the right to:

  • Ask for a copy of the personal information we hold about you
  • Ask us to correct anything that is inaccurate or incomplete
  • Ask us to delete it, where we have no continuing reason to keep it
  • Ask us to restrict how we use it while a concern is resolved
  • Object to our use of it where we rely on legitimate interests
  • Ask for it in a portable, machine-readable format
  • Withdraw your consent to analytics at any time, without affecting anything done beforehand

To exercise any of these, contact us at info@maintainpropertysouth.co.uk. We will respond within one month. There is no charge unless a request is clearly unfounded or excessive.

If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk, or on 0303 123 1113. We would appreciate the chance to put things right first.
